Privacy Policy

This policy explains what information PubStudio collects, why we collect it, and the choices you have. It is written in plain English so pub owners can read it without a solicitor.

Who We Are

PubStudio is a platform that helps pubs create AI-assisted social media content. We are based in the United Kingdom and built PubStudio for independent UK pubs.

Information We Collect

We collect only what we need to run PubStudio for you:

  • Your name
  • Your email address
  • Your pub details, such as pub name, style, food offering and audience
  • Images you upload or capture in PubStudio
  • The prompts and details you give us when creating a post
  • AI generated content, including captions and drafts
  • AI Memory β€” the habits and recurring events learned from your confirmed activity
  • Support requests, including any attachment you choose to send
  • Device and browser information, such as browser type and screen size
  • Usage analytics, only where you have accepted optional analytics cookies

Payment details are never stored by PubStudio. When paid plans are available, card details are processed only by our payment provider.

How We Use Information

We use your information to:

  • Provide the service and keep your account working
  • Generate AI content for your posts
  • Personalise AI Memory so suggestions match your pub
  • Improve the quality of AI writing
  • Answer your customer support requests
  • Improve the product and decide what to build next
  • Keep PubStudio and your account secure

AI Processing

When you create a post, the details you provide β€” including your prompt, pub context and, where relevant, the image you selected β€” are sent securely to trusted AI providers so that the caption can be generated.

Requests travel over encrypted connections and are used to produce your content. We do not publish your content anywhere on your behalf, and we do not use your pub's content to advertise other businesses.

Cookies

PubStudio uses a small number of cookies and similar browser storage:

  • Essential cookies, which are required for the site and app to function
  • Authentication cookies and secure browser storage, which keep you signed in
  • Optional analytics cookies (PostHog and Vercel Analytics), which help us understand how PubStudio is used
  • Optional marketing cookies (the Meta Pixel), which let us measure our Facebook and Instagram advertising

Optional cookies are off until you accept them on our cookie banner, and you can change or withdraw your choice at any time using the β€œCookie preferences” link in the footer or the account menu.

Data Storage

Your account data and content are stored securely using Supabase, our managed database and storage provider.

Files you upload β€” photos, logos and support attachments β€” are kept in private storage. They are not publicly readable and cannot be browsed by other users.

Row Level Security means every database request is checked against your signed-in identity at the database itself. Rows that do not belong to your account are simply not returned, even if a request asks for them.

Sharing Data

PubStudio never sells your personal information.

We share information only with trusted service providers, where applicable, so the service can run:

  • OpenAI β€” AI generation of captions and content
  • Supabase β€” database, authentication and private file storage
  • Vercel β€” application hosting, delivery and aggregated visitor analytics (analytics only with your consent)
  • PostHog β€” product analytics, hosted in the EU, only with your consent
  • Meta β€” advertising measurement through the Meta Pixel, only with your marketing consent
  • Google Workspace β€” our email and internal documents

We may also disclose information where we are required to do so by law.

Data Retention

We keep information only as long as necessary to provide the service, meet our legal obligations and resolve disputes.

Support requests may be archived and later permanently deleted under our retention settings. Content you delete in PubStudio is removed from your account, and uploaded files are deleted from private storage.

When you permanently delete your PubStudio account, the applicable PubStudio account data is permanently deleted through our deletion process, including your profile, posts, media files and everything PubStudio had learned about your pub.

Some information may still need to be retained where we are required to do so by law, or where it is necessary for legitimate accounting, tax, fraud prevention, security or dispute-handling purposes.

Our payment provider, Stripe, keeps its own transaction, payment, refund and invoice records under its own legal obligations and retention requirements. Those records are not deleted simply because a PubStudio account has been deleted.

User Rights

You can:

  • Access the information held about you
  • Correct information that is wrong or out of date
  • Request deletion of your account and its content
  • Request a data export (this is planned for a future release)
  • Contact PubStudio with any privacy question or concern

Security

We take practical, layered steps to protect your account:

  • Authentication on every protected page and request
  • Private storage for all uploaded files
  • Encryption in transit, and encryption at rest where applicable
  • Rate limiting on sensitive actions such as support submissions
  • Regular security reviews of database policies and permissions

Children's Privacy

PubStudio is intended for business users. It is not designed for, or directed at, children under 18, and we do not knowingly collect information from them.

Changes

This policy may change over time as PubStudio grows and new features are added. When it does, we update the Last Updated date at the top of this page, and we will tell you about significant changes in the app or by email.
